What items can be expensed during the offsite?

You may expense any travel necessary to get you to Nashville from your prior destination. This includes 1 roundtrip coach flight (into and out of Nashville). Please see the Ground Transportation page for airport transfers in Nashville.

Any food/beverage or travel purchased outside of the planned ExploreLearning/Learning A-Z events (i.e. bars) is not eligible for reimbursement. You may review our Cambium Travel Policy on the Cambium Learning Sharepoint site.

If my “plus one“ wants to join me, when should he/she arrive?

Your “plus one” is welcome to arrive with you 3 days prior to the event or on Thursday, June 18 to take advantage of the extended stay option. As a reminder, the expectation is that all employees are attending all company events and plus ones and other guests should not attend company sanctioned events, including meals.

If I prefer to drive instead of fly, would that cover the cost of a rental or mileage on a personal vehicle? Are there criteria for driving vs flying?

We are encouraging the most economical way to travel to the 2026 GSM. Our Cambium Learning T&E Policy provides guidance that if the destination is less than 200 miles employees should evaluate the options to fly or drive. If you choose to drive, and the destination is over 200 miles, you may do so and expense 200 miles at the current reimbursement rate at the time of travel. You will be responsible for parking, gas, etc. even if it exceeds the reimbursed amount. Hotel parking is valet-only and $52/day.

If you plan to drive, please gain pre-approval from your manager and confirm it is the most economical way to travel including the cost of parking.

What is the dress code for the Summer Sales Meeting?

Business casual attire is expected for all sessions and events with two exceptions:

    • Offsite Dinner on Tuesday, June 16 will include live music, and you are encouraged, but not required, to wear boots and hats.
June 19th is a company holiday. Do I need to be in Nashville that day?

No. The meeting will wrap up by 11:00am on Thursday, June 18, so you’re welcome to fly out Thursday afternoon. If you’d like to stay in Nashville Thursday evening, the company will cover the cost of your hotel room that night.

If I stay Thursday night, what can I expense and what am I responsible for?

Friday, June 19 is a recognized Explore Learning | Learning A-Z holiday. As such, anyone who prefers to fly home on Thursday, June 18 is welcome to do so after 1:30pm (Thursday’s regional sales meetings will conclude by 11:00am). If you prefer to stay in Nashville the night of the 18th and fly home Friday, the company will cover that hotel night for you. Normal T&E policy applies to everyone traveling home on Thursday, June 18. If you choose to stay Thursday night, you are welcome to expense your lunch on Thursday in alignment with our T&E policy, but all other expenses related to extending your stay, including transportation to the airport and meals on Friday are at your own expense.
